What is IDrive® Spaces?

IDrive® Spaces offers immediate cloud-based access to files so users can work on them easily without needing to sync or download content. Built for fast and remote work environments, this file-sharing solution is well-suited for large media, design, and creative workloads. With straightforward file organization and access permissions, teams can access, collaborate, and work on files from any location.

How do I get started with IDrive® Spaces via the web?

To get started, sign in to your IDrive® account from any supported web browser and click 'IDrive® Spaces' from the left navigation menu. Click 'Enable' to activate IDrive® Spaces. Once enabled, click 'IDrive Spaces' to open the dashboard. You can then create and manage shared workspaces and filespaces to upload and access files for different projects, assign access permissions, and seamlessly work with your team on files from the web console.

How does IDrive® Spaces keep my sensitive data protected?

IDrive® Spaces protects your data with end-to-end AES-256 encryption both in transit and at rest. Your encryption keys are never stored or accessed by us, ensuring complete privacy. Granular access controls let administrators set permissions for specific files and folders, ensuring secure file sharing, while direct cloud access allows users to open files without downloads, reducing data exposure.

 

What is a workspace?

A workspace is a collaborative space where your distributed teams can coordinate projects by working on files in real time from the cloud. It functions as a central location for creating filespaces to store and organize project files, with admin controls to manage user access.

How do I create a workspace?

To create a workspace,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. In the Create a workspace section, enter a workspace name that your team can easily identify. Alternatively, you can click  view client wise status to create a workspace.
  3. Click Create workspace.

Once your first workspace is created, click  view client wise status to create subsequent workspaces.

How many workspaces can I create?

You can create multiple workspaces. Each workspace functions as an independent shared cloud environment. You can set up workspaces for different projects or teams and manage the member access and permissions, as needed.

Is it allowed to exit a workspace?

You cannot exit a workspace that you have created. However, you can exit a shared workspace whenever you want. Once you exit, you can no longer access the shared files and folders.

To exit a workspace,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace you want to leave and click  view client wise status next to its name.
  4. Select Workspace settings from the dropdown menu.
  5. Click Exit workspace.

Can I rename a workspace?

Yes, you can rename a workspace only if it contains no filespaces.

To rename a workspace,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace you want to rename and click  view client wise status next to its name.
  4. Select Workspace settings from the dropdown menu.
  5. In the Rename workspace section, click  view client wise status next to the workspace name.
  6. Enter a new name for the workspace.
  7. Click Rename workspace.

How do I delete a workspace?

To delete a workspace,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace you want to delete and click  view client wise status next to its name.
  4. Select Workspace settings from the dropdown menu.
  5. Click Delete under the Delete workspace section.
  6. Enter the workspace name to confirm deletion.
  7. Click Delete.

Note: Only the owner of a workspace can delete it. A workspace can be deleted when there are no filespaces in it.

What is a filespace?

A filespace provides a shared cloud space where users can store, access, and work on files from anywhere. It functions like a local drive, allowing users to open and edit files directly from the cloud without needing to download or sync them.

Multiple filespaces can be created within a workspace, with permissions for user access and collaboration.

How do I create a filespace?

To create a filespace,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace where you want to create the filespace.
  4. In the Get started with your first filespace section, enter a filespace name that your team can easily identify.
  5. Click Enable Snapshots to automatically create snapshots based on predefined schedules and configured retention periods.

    Note: The created snapshots will be listed as default snapshots under the Snapshots page.
  6. Click Create filespace.

After the first filespace is created, click Create filespace to create additional filespaces.

Can I link my own storage to a filespace?

Yes, you can bring your own storage and link it to a filespace. It allows you to integrate your existing Amazon S3, other S3-compatible storage, Microsoft Azure, and Google Cloud Storage directly with IDrive® Spaces. This offers greater control and flexibility by enabling you to use the storage that you already own.

To link your storage,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. In the Get started with your first filespace section, enter a filespace name that your team can easily identify.
  4. Click Create filespace. The Select storage popup will appear.
  5. Choose a storage option from Amazon S3, S3 compatible storage, Azure, or Google Cloud Storage.
  6. Use the following applicable parameters for authorization:
    • Amazon S3:
      • Endpoint URL - Enter the endpoint URL of your storage provider
      • Access Key ID - Enter the access key ID of your IDrive storage account
      • Secret Access Key -Enter the secret access key of your AWS S3 account
    • S3 compatible storage:
      • Endpoint URL - Enter the endpoint URL of your storage provider
      • Access Key ID - Enter the access key ID of your storage provider
      • Secret Access Key - Enter the secret access key of your storage provider
    • Azure:
      • Storage Account Name - Enter the name of your Azure storage account
      • Access Key ID - Enter the access key ID of your Azure account
    • Google Cloud storage:
      • Upload credentials file - Browse and upload the credentials file of your Google Cloud storage account
      • Paste JSON credentials - Alternatively, paste the JSON credentials of your Google Cloud storage account
  7. Select a storage region for the filespace.
  8. Click Continue.

Your filespace will be connected to the selected storage, allowing you full control and flexibility over where your data resides.

How do I connect to a filespace?

To connect to a filespace,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace that contains the filespace you want to connect to.
  4. Click the required filespace.
  5. Click Connect.

Alternatively, click Open desktop app to connect to the filespace via the IDrive® Spaces Desktop application. Explore the Desktop FAQs to know more.

The filespace will open as a drive, enabling you to create folders, upload files, and access data. You can also connect to multiple filespaces, with each appearing as a separate drive.

How do I disconnect a filespace?

To disconnect a filespace,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace that contains the filespace you want to disconnect.
  4. Click the required filespace.
  5. Click  view client wise status next to the filespace name.
  6. Click Disconnect from the dropdown menu.

How do I create new folders in a filespace?

To create a folder,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace that contains the filespace where you want to create the folder.
  4. Click the required filespace and connect to it.
  5. Click Create new folder.
  6. Enter a name for the folder.
  7. Click Create.

Alternatively, click  view client wise status to create a new folder in a filespace.

How do I delete a folder?

To delete a folder,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace that contains the filespace with the folder you want to rename.
  4. Open the workspace that contains the filespace with the folder you want to delete.
  5. Click the required filespace and connect to it.
  6. Hover over the folder you want to delete and click  view client wise status.
  7. Click Delete in the confirmation popup.

What is a filespace snapshot?

A snapshot is a point-in-time image of a filespace that preserves the current state of all the files and folders existing in the filespace. It allows you to save and restore your entire filespace, or any deleted or modified files, to a specific moment by retaining the exact version of each file. You can access and restore files by mounting the snapshot.

Default snapshots can be enabled for a filespace during its creation. You can also take an immediate snapshot manually or schedule snapshots to be created automatically.

How do I capture a quick snapshot of a filespace?

To capture an immediate snapshot,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace that contains the filespace for which you want to capture a snapshot.
  4. Click the required filespace.
  5. Click Snapshots.
  6. Click Capture snapshot. A popup screen will appear.
  7. Enter a name for the snapshot.
  8. Click Create snapshot.

A list of all the quick snapshots will be displayed on the Snapshots page.

Can I schedule a snapshot for a filespace?

Yes, you can schedule snapshots to be created automatically at set intervals (minute, hour, or day).

To schedule a snapshot,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace that contains the filespace for which you want to capture a snapshot.
  4. Click the required filespace.
  5. Click Snapshots.
  6. Click Schedule snapshot.
  7. Click Schedule snapshots in the popup screen.
  8. Enter a schedule name.
  9. Select a start time.
  10. Choose the snapshot creation frequency.
  11. Set the number of snapshots to retain. It can be between 1-99.
    Note: Older snapshots exceeding this limit will be automatically removed.
  12. Click Schedule snapshot.

A list of all the scheduled snapshots will be displayed on the Snapshots page.

How do I stop a filespace snapshot schedule?

To stop a snapshot schedule,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace that contains the filespace for which you want to stop a snapshot schedule.
  4. Click the required filespace.
  5. Click Snapshots.
  6. Click Schedule snapshot.
  7. Hover over the snapshot you want to disable and click  view client wise status.
  8. Click Stop schedule in the confirmation popup.

The snapshot schedule will be disabled and no future snapshots will be created by it.

Can I delete a filespace snapshot schedule?

Yes, you can delete snapshot schedules associated with a filespace.

To delete a snapshot schedule,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace that contains the filespace for which you want to delete a snapshot schedule.
  4. Click the required filespace.
  5. Click Snapshots.
  6. Click Schedule snapshot.
  7. Hover over the snapshot you want to delete and click  view client wise status.
  8. Click Delete in the confirmation popup.

The snapshot schedule will be removed permanently from your account.

Is it possible to filter snapshots of a filespace?

Yes, you can filter the snapshots of a filespace.

To filter the snapshots,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace that contains the filespace for which you want to filter snapshots.
  4. Click the required filespace.
  5. Click Snapshots.
  6. Click  view client wise status and select the following options from the dropdown menu, as required:
    • All snapshots - all the snapshots of the filespace
    • Default snapshots - all the default snapshots of the filespace
    • Quick snapshots - all the instant snapshots of the filespace
    • Scheduled snapshots - all the scheduled snapshots of the filespace

    A list of all snapshots for the selected type will be displayed.

How to recover files or folders from a filespace snapshot?

To recover a file or folder,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the required filespace.
  4. Click Snapshots.
  5. Hover over the snapshot you want to restore and click to load the snapshot.
  6. Click Open snapshots to view the snapshot in your file browser.
  7. Select and drag required files or folders to the desired filespace location.

Alternatively, you can click  view client wise status next to the filespace name and select Snapshots from the dropdown menu.

Restored files or folders will be placed in a separate folder within the filespace, preserving existing data. This ensures users can access both versions and compare them as needed.

How do I delete a snapshot?

To delete a snapshot,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace containing the filespace from which you want to delete the snapshot.
  4. Click Snapshots.
  5. Hover over the snapshot you want to delete and click  view client wise status.
  6. Click Delete in the confirmation popup.

Once deleted, the snapshot will no longer be accessible to the owner or users.

What is file pinning?

File pinning lets you mark specific files or folders in your IDrive® Spaces account to keep local copies on your device. Once pinned, the files are downloaded and stored locally so they remain available at all times. Any changes made to the pinned files are automatically synced to the cloud, so everyone with access always has the latest version.

To pin files or folders,

  1. Launch the IDrive® Spaces desktop application and sign in to your account.
  2. Open the workspace that contains the required filespace.
  3. Right-click the required file and select Pin from the menu.

Note: To pin files, the size must be within the download cache limit set under Filespace settings

Can I view the details of a filespace?

Yes, you can view the details of a filespace.

To view filespace details,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace containing the filespace for which you want to view details.
  4. Click  view client wise status next to the required filespace.
  5. Select Filespace details from the dropdown menu. A popup screen will appear.

The cloud provider and utilized storage space for the filespace will be displayed.

From this screen, you can click Disconnect to end the filespace connection, Open in App to access the filespace via the IDrive® Spaces Desktop application, or go to Access and Permissions or Settings to manage access permissions and filespace settings.

How do I delete a filespace?

To delete a filespace,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace that contains the filespace you want to delete.
  4. Click  view client wise status next to the required filespace.
  5. Select Filespace settings from the dropdown menu.
  6. Click Delete under the Delete filespace section.
  7. Enter the confirmation code sent to your registered email address to confirm deletion.
  8. Click Verify.

Upon verification, the filespace and all associated files will be permanently deleted from your account.

How do I add users to a workspace?

To invite users to a workspace,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace where you want to add users and click Invite users.
  4. Enter the email addresses of the persons you want to invite. You can enter up to 20 email addresses separated by commas.
  5. Select a group under Add users to groups to add the users to the desired groups.
    Note: All users will be automatically added to the Everyone group by default.
  6. Click Invite user. The invited users will receive an email with a link to create their account.

When the recipient accepts the invitation, they will be added to the workspace.

Once the users join the workspace, you need to grant them permissions to access the files and folders in the filespaces within the workspace. You can assign them view or edit access to an entire filespace or specific folders.

Can I create a group in my workspace?

To create a group of users,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace where you want to create a group and click  view client wise status next to its name.
  4. Select Groups.
  5. Click Create group.
  6. Enter a name for your group.
  7. Click Create group.

How do I add users to a group?

To add users,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace containing the group to which you want to add users and click  view client wise status next to its name.
  4. Select Groups. A list of groups will appear.
  5. Hover over the group you want to add users to and click  view client wise status next to it.
  6. Select Manage group. A slider screen will appear.
  7. Click Add to group.
  8. Select the users you want to add.
  9. Click Done.

Can I delete users from a group?

Yes, you can delete any user from a group whenever you want.

To delete a user,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace containing the group you want to delete users from and click  view client wise status next to its name.
  4. Select Groups. A list of groups will appear.
  5. Hover over the group from which you want to delete users and click  view client wise status next to it.
  6. Select Manage group. A slider screen will appear.
  7. Click Delete.
  8. Select the user you want to delete.
  9. Click Delete in the confirmation popup.

How do I rename a group?

To rename a group,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace containing the group you want to rename and click  view client wise status next to its name.
  4. Select Groups. A list of groups will appear.
  5. Hover over the group you want to rename and click  view client wise status next to it.
  6. Select Rename group from the dropdown menu.
  7. Enter a new name for the group.
  8. Click Rename.

How do I delete a group?

To delete a group,

  1. Sign in to your IDrive® account from the web and navigate to IDrive Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace containing the group you want to delete and click  view client wise status next to its name.
  4. Select Groups. A list of groups will appear.
  5. Hover over the group you want to delete and click  view client wise status next to it.
  6. Select Delete from the dropdown menu.
  7. Click Delete in the confirmation popup.

How do I grant access permission to an entire filespace?

To grant access for multiple users and groups,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace containing the filespace you want to grant access to and click  view client wise status next to its name.
  4. Select Access and permissions. A list of filespaces will appear
    .
  5. Open the required filespace.
  6. Click the filespace name. A slider screen will appear.
  7. Enter the user and group names you want to grant access to.
    Note: Select the default Everyone group to grant access to all users.
  8. Set View or Edit access for the selected users and groups.
  9. Click Done.

Alternatively, you can click  view client wise status next to the filespace name and select Access and Permissions from the dropdown menu.

To grant access for a specific user or group,

  1. Open the workspace containing the filespace you want to grant access to and click  view client wise status next to its name.
  2. Select Users or Groups, as needed. A list of users or groups will appear.
  3. Hover over the intended user or group and click  view client wise status icon next to it.
  4. Select Manage group. A slider screen will appear.
  5. Click Access and permissions.
  6. Hover over the filespace you want to share and click Grant access. The Grant folder access screen will appear.
  7. Click Grant access next to the filespace name to grant the user or group access to all the files and folders.
  8. Set View or Edit access for the user or group.

Alternatively, you can click  view client wise status next to the filespace name, select Access and Permissions from the dropdown menu, and go to the Users or Groups.

How do I grant access permission to a specific folder?

To grant access for multiple users and groups,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace containing the filespace you want to grant access to and click  view client wise status next to its name.
  4. Select Access and Permissions. A list of filespaces will appear.
  5. Open the required filespace.
  6. Click the filespace name. A slider screen will appear.
  7. Click Grant access. The Grant folder access screen will appear.
  8. Hover over the intended folder name and click Grant access.
  9. Enter the user and group names you want to grant access to.

Alternatively, you can click  view client wise status next to the filespace name, select Access and Permissions from the dropdown menu, and go to the Users or Groups.

Can I modify the existing permissions for a filespace or specific folders?

Yes, you can modify the access permissions for an entire filespace or specific folders within the filespace.

To modify permissions for all the users and groups,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace containing the filespace you want to modify access permissions and click  view client wise status next to its name.
  4. Select Access and Permissions. A list of filespaces will appear.
  5. Open the filespace or specific folder for which you want to modify permissions.
  6. Click the filespace or folder name. A list of users and groups with access will appear.
  7. Modify the access level for intended users or groups.
  8. Click Done to update the changes.

Alternatively, you can click  view client wise status next to the filespace name and select Access and Permissions from the dropdown menu.

To modify permissions for a specific user or group,

  1. Open the workspace containing the filespace you want to modify access permissions for and click  view client wise status next to its name.
  2. Select Users or Groups, as needed. A list of users or groups will appear.
  3. Hover over the intended user or group and click  view client wise status next to it.
  4. Select Manage group. A slider screen will appear.
  5. Click Access and permissions.
  6. Hover over the filespace or folder you want to modify access permissions and click Grant access.
  7. Modify the access level for the user or group.

Alternatively, you can click  view client wise status next to the filespace name, select Access and Permissions from the dropdown menu, and go to the Users or Groups.

How do I remove the existing permissions for a filespace or specific folders?

To remove permissions for multiple users and groups,

  1. Sign in to your IDrive® account from the web and navigate to IDrive® Spaces on the left menu.
  2. Click IDrive Spaces.
  3. Open the workspace containing the filespace you want to remove access permissions for and click  view client wise status next to its name.
  4. Select Access and permissions. A list of filespaces will appear.
  5. Open the filespace or specific folder for which you want to remove permissions.
  6. Click the filespace or folder name. A list of users and groups with access will appear.
  7. Click dropdown icon next to the users or groups you want to remove access for.
  8. Select Remove access from the dropdown menu.
  9. Click Remove access in the confirmation popup.

Alternatively, you can click  view client wise status next to the filespace name and select Access and Permissions from the dropdown menu.

To remove permissions for a specific user or group,

  1. Open the workspace containing the filespace you want to remove access permissions for and click  view client wise status next to its name.
  2. Select Users or Groups, as needed. A list of users or groups will appear.
  3. Hover over the intended user or group and click  view client wise status icon next to it.
  4. Select Manage group. A slider screen will appear.
  5. Click Access and permissions. A list of filespaces will appear.
  6. Hover over the filespace or the folder you want to remove access permissions for and click Grant access.
  7. Click dropdown icon next to the user or group you want to remove access for.
  8. Select Remove access from the dropdown menu.
  9. Click Remove access in the confirmation popup.

Alternatively, you can click  view client wise status next to the filespace name, select Access and Permissions from the dropdown menu, and go to the Users or Groups.
